- •Data Portability & Active Export: Authorized Administrators may request an export of their institution’s data at any time during active use or within the 90-day closure window.
- •Administrator Authorization: Account closure and institutional data export requests must be initiated by an authorized institution Administrator.
1. Introduction & Acceptance of Terms
These Terms of Service (“Terms”) constitute a legally binding agreement between the educational institution, college, or entity you represent (“Institution”, “Customer”, “you”, or “your”) and AdmitDrive (“we”, “us”, or “our”), governing your access to and use of our admissions CRM platform, web applications, and associated services accessible at admitdrive.com.
By creating an account, onboarding an institution workspace, inviting staff, or accessing AdmitDrive, you agree to be bound by these Terms and our Privacy Policy. If you do not agree to these Terms, you must not access or use the platform.
2. About AdmitDrive
AdmitDrive provides a specialized multi-tenant SaaS Admissions CRM and student lead management platform designed for colleges, universities, and academic institutions. The platform delivers structured workflows for lead intake, CSV spreadsheet imports, rule-based team assignments, tele-calling coordination, follow-up scheduling, academic interest tracking, resource sharing, team performance analytics, and admissions reporting.
4. Institution Accounts & User Accounts
An institution workspace is established during initial onboarding. The individual who establishes the workspace becomes the initial Administrator. Administrators may invite additional authorized personnel as Managers or Staff members.
Each user account must be associated with a unique, valid individual email address. Shared or generic team logins are discouraged and may be restricted to preserve audit integrity and data security.
5. Roles & Permissions
AdmitDrive enforces Role-Based Access Control (RBAC) across distinct operational roles:
Administrator
Full administrative authority over the institution workspace, including staff invitations, role assignments, academic configuration, subscription management, data export requests, and account closure authorization.
Manager
Supervisory access to lead pipelines, lead assignments, team calling metrics, operational follow-ups, and admissions analytics.
Staff / Counselor / Tele-caller
Operational access to assigned student leads, tele-calling workspaces, call outcome logging, follow-up scheduling, and student status updates.
AdmitDrive reserves the right to introduce, refine, or update role permissions as platform capabilities expand.
6. Account Security & Credentials
The Institution and its authorized users are responsible for maintaining the confidentiality of their login credentials. You agree to:
- Enforce strong passwords for all institutional accounts.
- Promptly revoke workspace access for staff members who leave the institution.
- Immediately notify AdmitDrive via contact@admitdrive.com upon learning of any unauthorized account access or credential compromise.
7. Institution Responsibilities for Customer Data
The Institution is solely responsible for all prospective student, applicant, and counselor data uploaded, imported, or entered into AdmitDrive (“Customer Data”). The Institution warrants and covenants that:
- It has obtained all necessary legal rights, permissions, and consents to upload and process Customer Data.
- It has provided all required privacy notices to prospective students and applicants in accordance with applicable data protection laws.
- It will not upload or use unlawfully harvested, scraped, purchased, or unsolicited contact databases.
- All tele-calling, SMS, messaging, and outreach activities conducted using data managed on the platform comply with applicable telecommunications, anti-spam, and consumer protection laws.
8. Acceptable Use & Prohibitions
You agree not to use or attempt to use AdmitDrive to:
- Violate any applicable local, state, national, or international law or regulation.
- Access, probe, or attempt to access the data or workspace of another institution or tenant.
- Reverse engineer, decompile, disassemble, or derive the source code of the platform.
- Upload or transmit malware, viruses, trojans, worms, or malicious scripts.
- Send abusive, harassing, defamatory, fraudulent, or deceptive communications.
- Conduct automated scraping, data extraction, or stress-testing without prior written authorization.
- Share login credentials or impersonate another user or entity.
- Bypass, circumvent, or disable any security, licensing, or rate-limiting safeguards.
9. Customer Data Ownership
As between the Institution and AdmitDrive, the Institution retains all right, title, interest, and intellectual property in and to its Customer Data.
AdmitDrive does not claim or acquire any ownership rights over prospective student records, applicant lists, counselor notes, uploaded brochures, or institution configuration settings.
10. Limited License to Process Data
The Institution grants AdmitDrive a worldwide, non-exclusive, royalty-free, limited license to host, reproduce, process, transmit, back up, and display Customer Data strictly to the extent necessary to provide, secure, support, and maintain the platform and associated services for the Institution.
11. AdmitDrive Intellectual Property
AdmitDrive, including its software, codebases, user interfaces, documentation, visual design, database schemas, algorithms, trademarks, service marks, and brand assets, is and remains the sole property of AdmitDrive and its licensors.
Except for the limited right to access and use the platform under these Terms, no rights or licenses are granted to the Institution.
12. Pilot, Complimentary & Subscription Accounts
AdmitDrive offers institutional pilot workspaces, complimentary access periods, and tiered subscription entitlements.
- Pilot & Complimentary Access: Workspaces provisioned under pilot or complimentary programs are provided without upfront subscription fees to enable evaluation and operational trial.
- Feature Limits & Quotas: Workspace capacity, including active user seats, lead intake quotas, and storage limits, is determined by the active plan configuration.
- Commercial Paid Billing: Commercial subscription terms, billing schedules, and payment mechanisms may be introduced under separate terms or order agreements prior to initiating fee-based services.
13. Suspension & Restriction
AdmitDrive reserves the right to suspend or restrict access to an institution workspace or individual user account if:
- There is a material violation of these Terms or Acceptable Use rules.
- A security threat, unauthorized access attempt, or platform abuse is detected.
- Required by applicable legal authority or regulatory mandate.
- A subscription status is expired, inactive, or suspended.
Suspension of operational access does not automatically delete customer data, which remains safely preserved subject to Section 14.
14. Account Closure & 90-Day Retention Window
To protect educational institutions from accidental or unauthorized data loss, account closure follows a structured, verified process:
Administrator Authority Only
Only an authorized institution Administrator may request permanent workspace closure. Managers and Staff cannot request institutional account closure.
90-Day Retention & Recovery Period
Upon confirmed submission of an account closure request, the workspace enters a 90-day recovery and export window. During these 90 days, the institution may retrieve a data export or request reactivation.
Post-90-Day Permanent Deletion
Following the expiration of the 90-day retention window, production customer records become eligible for permanent deletion from active systems. Residual copies may remain temporarily in backup or disaster-recovery systems and will age out according to applicable backup retention processes.
15. Data Export Rights & Portability
AdmitDrive is designed to ensure institution data portability and avoid vendor lock-in. The platform recognizes two distinct data export contexts:
A. Active Account Exports (At Any Time)
An authorized institution Administrator may request an export of their institution’s Customer Data at any time while the institution account is active. An institution can only access and export its own tenant data. Exports may be provided in practical, common machine-readable formats (such as standard CSV or structured files) as supported by the platform.
B. Account Closure Window Exports
During the 90-day recovery window following a formal account closure request, the institution Administrator retains the right to request and retrieve an export of the institution’s Customer Data prior to permanent deletion eligibility.
16. Service Availability & Maintenance
We use commercially reasonable efforts to deliver high availability and responsive platform performance. However, we do not warrant that platform operations will be uninterrupted, continuous, or completely error-free.
We may conduct scheduled maintenance or emergency security updates from time to time. Where feasible, we aim to schedule non-critical maintenance during off-peak hours.
17. Product Updates & Modifications
AdmitDrive is continuously improved and updated. We reserve the right to add, modify, or retire platform features, workflows, or interfaces. We will provide reasonable notice for substantial modifications that materially impact core admissions operations.
18. Backups & Disaster Recovery
AdmitDrive maintains automated database backup routines designed for system-wide disaster recovery and business continuity.
These systemic backups are intended for platform-level resilience and do not constitute an on-demand record restoration service for individual items inadvertently deleted by institution users. Institutions are encouraged to maintain periodic local exports of critical admissions records.
19. Third-Party Services & Infrastructure
The platform relies on third-party cloud hosting, email delivery, and communication infrastructure. We are not liable for delays, delivery failures, or interruptions resulting from third-party provider outages outside our reasonable control.
20. Analytics & Operational Metrics
Dashboards, performance charts, conversion ratios, and counselor statistics provided in AdmitDrive are operational tools to assist institutional management.
AdmitDrive does not guarantee student admissions outcomes, enrollment volumes, lead conversion rates, institutional revenue, or individual staff performance. The Institution remains solely responsible for its admissions criteria, student counseling decisions, and institutional governance.
21. Security & Shared Responsibility
AdmitDrive implements reasonable technical and organizational safeguards designed to protect customer data. Security is a shared responsibility: institutions and users are responsible for safeguarding credentials, securing staff endpoint devices, and managing staff access permissions.
22. Privacy Policy
Our collection and processing of personal data is governed by our Privacy Policy, which is incorporated into and forms an integral part of these Terms.
23. Disclaimers of Warranties
To the maximum extent permitted by applicable law, AdmitDrive and its services are provided on an “as is” and “as available” basis without warranties of any kind, whether express, implied, statutory, or otherwise, including but not limited to implied warranties of merchantability, fitness for a particular purpose, non-infringement, accuracy, or uninterrupted availability.
24. Limitation of Liability
To the maximum extent permitted by applicable law, in no event shall AdmitDrive, its founders, directors, employees, or agents be liable for any indirect, incidental, special, consequential, exemplary, or punitive damages, including loss of profits, admissions revenue, student enrollments, data loss, or business interruption, arising out of or in connection with the use or inability to use the platform.
To the maximum extent permitted by applicable law, AdmitDrive’s total liability arising out of or related to these Terms or your use of the platform shall be limited exclusively to the extent permitted by applicable law. Nothing in these Terms excludes or limits any liability that cannot legally be excluded or limited under applicable law.
25. Indemnification
The Institution agrees to defend, indemnify, and hold harmless AdmitDrive, its officers, directors, and employees from and against any third-party claims, liabilities, damages, judgments, losses, and reasonable legal expenses arising out of or related to:
- The Institution’s breach of these Terms or applicable laws.
- Any unlawful, infringing, or unauthorized Customer Data uploaded or processed by the Institution.
- Any violation of student privacy, telecommunications, or consumer protection regulations by the Institution or its authorized users.
26. Term & Termination
These Terms remain in effect until terminated by either party. The Institution may terminate by requesting formal account closure through its Administrator in accordance with Section 14. AdmitDrive may terminate or suspend access for material breach, non-compliance, or security risks.
27. Service Discontinuation
In the event that AdmitDrive decides to discontinue the platform, we will make reasonable commercial efforts to provide advance notice to registered Administrators and provide a reasonable opportunity for institutions to retrieve and export their data prior to platform shutdown.
28. Governing Law & Dispute Resolution
These Terms and any dispute or claim arising out of or related to them shall be governed by and construed in accordance with the laws of India.
Subject to applicable law, any legal disputes or proceedings shall be submitted to the jurisdiction of the competent courts in India. (The precise city or district court venue remains subject to final commercial business registration and professional legal review).
29. Changes to Terms
We may update these Terms periodically to reflect product updates, regulatory requirements, or operational modifications. Changes will be posted on this page with an updated effective date. Continued use of the platform following posted updates constitutes acceptance of the revised Terms.
